PIB for Schools & Colleges: What to Include for Safer, Faster Response
Schools and colleges are complex sites: multiple entrances, changing occupancy, specialist rooms, and a mix of staff, students, visitors and contractors. A well-structured Premises Information Box (PIB) helps emergency services and maintenance teams get the right information quickly, while giving duty holders a clear way to keep building information current.
Start with clear access information
- Primary and secondary access points (including gates, barriers and intercom instructions)
- Key holder details and out-of-hours procedures
- Reception / site manager contacts and escalation chain
- Vehicle access notes for large appliances (turning circles, bollards, restricted routes)
Map the site logically
Include a simple structure so anyone can orient themselves fast:
- Site plan with building names (e.g., Main Block, Sixth Form, Sports Hall)
- Floor plans with room numbering that matches signage on-site
- Locations of key systems: shut-offs, plant rooms, risers, control panels
Document higher-risk areas
Schools often have spaces that need extra clarity in an incident:
- Science labs (chemicals, gas isolation)
- DT/workshops (machinery, dust extraction, storage)
- Kitchens (gas, extraction, grease risks)
- Boiler/plant rooms (fuel type, isolations)
Keep compliance evidence tidy
Don’t bury the important documents. Use a simple set of folders (or a digital PIB) to store:
- Certificates and inspection records (e.g., electrical, alarms, emergency lighting)
- Maintenance logs and remedial action trackers
- Contacts for service providers (alarm company, lift engineer, facilities contractor)
Review cadence that actually works
We recommend a light-touch routine plus change-driven updates:
- Termly review: contacts, access notes, room changes
- Annual review: full document check and version cleanup
- After change: refurbishments, new plant, changes to access control, new tenancy/use
Next steps
If you manage a school, trust, or college estate, we can help you set up a consistent PIB structure across sites so information stays usable and inspection-ready.
